Dispute Resolution Policy
Seaside Volleyball Club Dispute Resolution and Conflict of Interest Policy:
Background: For the past four years, Seaside has adopted a Director Liaison program. The Liaison’s main role is to resolve issues between players, parents, and coaches that can’t be settled through regular communication. For more information on the role of the Director Liaison program, view the PDF below.
Dispute Resolution Policy
In the rare instance where a dispute is not resolved by the Director Liaison, the following Dispute Resolution Policy will be initiated.
- A formal complaint in writing with the appropriate details must be submitted to the club president or vice-president during the club season within a reasonable period of time from the occurrence(s).
- Upon receipt of the complaint the club will investigate, collecting information from the parties involved within one-week from the receipt of the complaint.
The complainant will be contacted either by email, phone and/or in person depending on the circumstances to resolve the dispute. - Any in-person meeting will require two representatives from the club to be present.
- Should a negotiated decision be reached, any actions that are to take place as a result of the decision shall be enacted on the timelines specified by the negotiated decision, pending the Organization’s approval.
- A negotiated decision will be binding on the parties. Negotiated decisions may not be appealed.
- Play time is not a disputable issue.
Conflict of Interest Policy
- If a director has any connection with the complainant of a dispute that constitutes a conflict of interest, the director will remove themselves from the resolution process and another director will be assigned to resolve the issue.
- Conflict of interest will include a director who is the coach of the team in question and/or a family relation to the complainant.
